Who we are

Nika Books and Ledgers is a bookkeeping practice operated by a Chartered Professional Accountant registered in Ontario, Canada. When this policy refers to “we,” “us,” or “our,” it means Nika Books and Ledgers.

What we collect

We collect only the information needed to serve you:

  • Contact information — name, email, phone number, business address.
  • Business information — legal name, operating name, business number, entity type, fiscal year end, and similar details collected through our onboarding questionnaire.
  • Identity verification — a photo of government-issued ID, as required under FINTRAC anti-money laundering rules for accountants.
  • Financial documents — receipts, invoices, statements, and any other files you upload or email to us.
  • Usage data — basic analytics such as page views. We do not use third-party advertising trackers.

How we use your information

Your information is used to:

  • Provide bookkeeping, tax, and payroll services.
  • Communicate with you about your account and our services.
  • Comply with legal and regulatory obligations, including CRA filing requirements and FINTRAC rules.
  • Improve our services and your experience using our portal.

We will never sell your personal information. We do not share it with third parties except as needed to deliver our services or as required by law.

Where your data is stored

Our stack is roughly 80% Canadian and 20% American — all of it North American. Where it matters most, we go Canadian: any service that stores your financial files, short term or long term, lives on Canadian-resident infrastructure. Workflow tools that never hold your records (e.g. domain hosting, business email) may be American. All data in transit is encrypted via TLS. Documents you upload are stored in private, access-controlled storage buckets pinned to a Canadian region.

How long we keep your data

We retain your files and records for at least seven years after the end of the engagement, as required by CPA professional standards and CRA record-keeping rules. Identity verification documents are retained for five years after the end of the business relationship, per FINTRAC requirements. You can request a copy of your data or ask us to delete non-regulated information at any time.

Your rights

You can:

  • Request a copy of the personal information we hold about you.
  • Ask us to correct any inaccurate or incomplete information.
  • Ask us to delete information not subject to regulatory retention requirements.
  • Withdraw consent for non-essential communications.

Cookies

We use essential cookies to keep you signed in and to remember your session. We do not use tracking cookies, advertising pixels, or third-party analytics that profile your browsing behaviour.

Changes to this policy

We may update this policy from time to time. If we make material changes, we will notify you by email or through a notice on our website. The “last updated” date at the top of this page reflects the most recent revision.
